Volunteering

Volunteers: Individuals willing to provide a service to the Marching Band without receiv­ing any benefits in return for their services. Individuals will have a vested positive reason for per­form­ing a service to the band. Volunteer indi­vid­u­als can be anyone in the com­mu­ni­ty that the board has approved before ren­der­ing their service if they are not cur­rent­ly related to or known to a present band member.

General for all Volunteers:

  1. Needed for Summer Band Camp, Home Football games includ­ing JV; Practices, Competitions, Concerts, Fundraising Events, and Special Events: Tallwood Invitational, Spring Assessments, and Parades. And other planned events through­out the year.
  2. Sign-Up for the desired position on CHARMS
  3. Report on time for the chosen event
  4. Wear appro­pri­ate clothing for the event. All vol­un­teers need to wear closed-toed shoes except for indoor events due to the amount of walking and equip­ment trans­porta­tion needs.
  5. Have fun, and enjoy being part of the Marching Lion family.
  6. Please check in with the office the week you plan to vol­un­teer to have your ID scanned through the Raptor system, school-wide policy.

Areas of Service

Concession Stand

Committee Chair/​Lead

  1. Plans for the upcoming football season once a schedule is posted.
  2. Meets with Band Director, Band Booster President, and VP of Volunteers to discuss the number of vol­un­teers needed for events
  3. Budget for the upcoming year, meeting with Band Director and Board to deter­mine the expenses and expected income
  4. Determine items to sell and the price point for the items
  5. Inventory the stand and ensure all equip­ment is in working order (During the week of Band Camp)
  6. Place order for the con­ces­sion stand before all home games and invitational
  7. Pick-up or delegate someone to pick up an order
  8. Attends every event or del­e­gates a lead when absent
  9. Arrives no later than 5 pm or del­e­gates a lead until the arrival

Concession Stand Cashier (2−4)

  1. Arrive at 5:30 pm,
  2. Takes the orders from customers,
  3. Uses the Square to track the purchases
  4. Exchanges money correctly,
  5. Works with a runner,
  6. Close the stand and counts money with Lead,
  7. Helps stock and clean

Concession Stand Griller (2−3)

  1. Arrives 1 ½ hrs (5 pm) before the event to begin grilling,
  2. Cooks until 1 hr before stand closing,
  3. Ensures the grill is cleaned and stored before leaving,
  4. Helps stock stand at the end of the evening and cleans

Concession Stand Runner (2−4)

  1. Arrives by 5:30 pm, works along with cashier to ensure the items pur­chased are prepared and served promptly,
  2. Helps stock and clean at the end of the evening

Concession Stand Popcorn Maker/​Stocker (1)

  1. Makes popcorn, fixes bags for sale,
  2. Ensures that supply is ready and remains steady
  3. Helps to stock items that become low are replen­ished during the event, and at the end, clean 

Chaperones: School, Competitions, and Trips

VP of Volunteers or designated Chaperone Captain

  1. An iden­ti­fied indi­vid­ual who has the list of vol­un­teers and their roles;
  2. Directs vol­un­teers to their needed posi­tions, answers any ques­tions that new vol­un­teers may have;
  3. Provide area leads with updated infor­ma­tion on vol­un­teers during the event, fills in when indi­vid­u­als do not show up,
  4. Problem solves when needs a rise and shifts vol­un­teer as needed
  5. You must check in with the school’s Raptor system at the security desk to have your ID scanned. All vol­un­teers MUST do this, prefer­ably the week of the event. This is a school-wide policy.

Football Game Chaperones

  1. Dinner Helpers (2) Gathers the orders and deter­mine the amount needed and will pick them up from the con­ces­sion stand before the end of the 2nd quarter
  2. Stand Support (2) Present to monitor the student’s behavior, assist with staff needs, watch over the instru­ments when the band is not in the stand, ensure the band’s safety, assist with water before halftime, and gather the water before the game in the coolers. Grabs a medical bag, reports to band director any issues that are beyond general first aid, tracks all medical care given, reports to parents any medical care given
  3. Guard Parent: (1) Present to ensure the needs of the guard are met, grabs a medical bag and provides medical assis­tance when needed, helps with guard props before, during, and after the show, Positive moti­va­tor for the guard, supports the staff

Competition Volunteers

  1. Snack Helper: (1) Ensure water and snacks are counted and loaded on the buses before depar­ture; disperse the snacks at des­ig­nat­ed times, and ensure all kids have meals or money for meals (before leaving)
  2. Guard Parent: (1) Present to ensure the needs of the guard are met, grabs a medical bag and provides medical assis­tance when needed, helps with guard props before, during, and after the show, Positive moti­va­tor for the guard, supports the staff
  3. Stand Support (2) grabs a medical bag; reports to the band director any issues that are beyond general first aid, tracks all medical care given, reports to parents any medical care is given, Present to monitor the student’s behavior, assists with the needs of staff, watch over the instru­ments when the band is not in the stand, ensure the safety of the band, assist with water before halftime; Monitor, the students on the buses
  4. Uniform Delegate (1−2): Ensures all uniforms are ready for the per­for­mance if there are any issues and carries a bag with needed supplies for any possible scenarios. 

PIT Volunteers – School, Competitions, Trips 

PIT Chairman

  1. Meets with Director and PIT staff to deter­mine the needs of the show before each event;
  2. Determines the number of needed vol­un­teers for each event;
  3. Loads and unloads the equip­ment over the course of any event from the truck,
  4. Moves the equip­ment to any deter­mined location,
  5. Travels/​drives in the truck with other vol­un­teers to the events;

PIT HELPERS: (8)

  1. Travels to the event and assists the PIT Chairman with assigned duties,
  2. Wear appro­pri­ate clothing and shoes as well as gloves to ensure safety.
  3. Assist at football games, bringing the pit equip­ment to and from the band room,
  4. Stages the PIT and other props for the show.
  5. Assist with fixing problems.

Uniform Volunteers

Uniform Chairman: (Currently Vacant; need an interested individual)

  1. Meets with the band director to estab­lish the needs of the band for the year,
  2. During marching band camp, measures and fits all new and return­ing students with a uniform,
  3. Establishes a system for the uniforms,
  4. Performs any sewing needs to ensure proper fit of uniforms,
  5. Repairs any issues quickly on days of events,

Uniform Helpers (2)

  1. Assist in the chair’s duties,
  2. attends events, and help as needed.
  3. Washing, sewing, etc.
